HR Administration Officer
Job Description:
Our client, an international shipyard group with a strong presence in the maritime industry, is seeking a detail-oriented and organised HR Administration Officer to support its operations in Malta.
The selected candidate will be responsible for managing core HR administrative processes, ensuring compliance with Maltese employment legislation, and supporting the full employee lifecycle within a fast-paced, multinational environment.
Key Responsibilities
- Prepare and manage employment contracts, extensions, amendments, and terminations.
- Draft offer letters and other HR documentation.
- Manage employee records and HR filing systems in compliance with GDPR.
- Handle registrations and communications with JobsPlus and other authorities.
- Support work permit and immigration processes for EU and non-EU employees.
- Assist with payroll-related administration, including FSS, tax, and social security contributions.
- Ensure compliance with Maltese employment law and internal HR policies.
- Verify subcontractor documentation and compliance requirements.
- Support HR audits, inspections, and reporting activities.
- Maintain accurate and up-to-date HR databases and records.
- Provide general administrative support to the HR department.
Requirements
- Diploma or degree in Human Resources, Business Administration, Law, or related field.
- 2–4 years’ experience in HR administration or personnel management, preferably in Malta.
- Strong knowledge of Maltese employment law and HR processes.
- Experience handling foreign workers and work permits will be considered an asset.
- Excellent written and spoken English; Italian is considered an advantage.
- Strong attention to detail and a high level of accuracy.
- Excellent organisational and communication skills.
- Proficiency in Microsoft Office (Excel and Word).
- Ability to handle confidential information with discretion.
