We are seeking an individual who will support the efficient functioning of the HR department, ensuring smooth operations and proactive HR support through both administrative and operational responsibilities. This role contributes to a positive colleague experience by promoting care, compliance, accuracy, and engagement throughout the entire employee lifecycle.
Main Responsibilities

Participate in workforce planning and recruitment by updating and drafting job descriptions, preparing job advertisements, screening applications, coordinating interviews, and managing the full recruitment cycle from posting to selection and job offer.

Prepare employment contracts and related HR documentation such as job offers, resignation letters, amendments, and other employee-related documents, while maintaining up-to-date and confidential employee records in the HR database.

Collect all necessary employee documents, create and maintain employee folders, and administer work permit and employment licence applications for third-country nationals (TCNs), ensuring compliance with regulations and liaising with government authorities.

Provide timely updates to payroll regarding new hires, terminations, salary changes, and leave adjustments.

Support the onboarding process by preparing and delivering orientation sessions, explaining company policies and benefits, and ensuring issuance of work tools and system access for new hires.

Coordinate probation reviews and performance appraisals in collaboration with Heads of Departments, ensuring timely follow-up and accurate documentation.

Address employee inquiries, provide guidance on HR policies, procedures, benefits, and job opportunities, and serve as the first point of contact for employee concerns and complaints.

Conduct exit interviews to capture feedback, coordinate resignations with payroll and managers, and ensure proper clearance procedures are followed.

Plan and organise training and development programs in collaboration with department heads and assist in tracking participation and effectiveness.

Drive wellness initiatives and employee engagement activities that promote company values.

Maintain and update accurate HR records, ensuring confidentiality and compliance with labour laws and internal policies.

Undertake additional HR-related duties as assigned to support the evolving needs of the HR function and the wider business.
Key Requirements

Experience in a similar role, preferably within the hospitality sector.

Strong understanding of human behaviour, with a solution-oriented mindset.

Excellent communication and interpersonal skills, both verbal and written, in English. Fluency in Maltese is an asset.

Good working knowledge of local employment legislation.

Proficiency in MS Office applications.

Familiarity with Shireburn Indigo HR software is considered an advantage.
